This Privacy Policy explains how iCabs Solutions (“iCabs,” “we,” “us,” or “our”) collects, uses, stores, shares, and protects personal data when you use our mobile application, website, and related services.

1. Who We Are

iCabs Solutions is a mobility and transport technology platform operating in Kenya and offering ride-hailing, taxi, car hire, parcel delivery, and related services.

For purposes of Kenyan data protection law, iCabs may act as a data controller and, in some cases, a data processor depending on the nature of the service and relationship.

2. Data We Collect

We may collect information you provide, including:

  • Full name, phone number, email address, profile information, and login credentials
  • National ID, passport, driver's licence, PSV or other compliance documents where required
  • Vehicle details and registration details for drivers or vehicle partners
  • Payment information
  • Support messages, complaints, reviews, and communications

We may also collect information through use of the Platform, including:

  • Pickup and drop-off locations, live and historical location data
  • Trip history, booking details, parcel delivery details
  • Timestamps, routes, and service interactions
  • Device information, app usage and diagnostic data
  • IP address and technical logs

We may receive information from third parties such as payment processors, identity verification providers, business partners, customer support providers, insurers or corporate clients where relevant to a booked service, and law enforcement or regulators where legally permitted or required.

3. How We Use Personal Data

We may use personal data to:

  • Create and manage user accounts
  • Verify identity and eligibility
  • Dispatch and coordinate trips, hires, and parcel deliveries
  • Facilitate communication between customers and drivers
  • Process payments and issue receipts
  • Monitor safety, prevent fraud and investigate complaints

4. Marketing and Promotional Use

We may use personal data for promotional messages, advertisements, offers, surveys, and service updates only where permitted by law.

Where required by applicable law, we will obtain your consent before using or disclosing your personal data for direct marketing or commercial promotional purposes. We will also provide a simple method for you to opt out of marketing communications.

5. Data Sharing

We may share limited contact and booking information between the assigned driver and the customer where necessary for pickup and drop-off coordination, trip completion, safety communication, delivery fulfilment, service support, and resolution of disputes or lost-item issues.

We may share data with vendors and service providers supporting hosting and infrastructure, analytics, communications, payment processing, mapping and location support, security and fraud monitoring, and customer support.

Where trips or services are booked through insurers, employers, or corporate accounts, we may share relevant booking and service information with those entities, subject to lawful basis and need.

We may disclose personal data where required by law, court order, lawful request by a regulator, law enforcement action, tax requirement, or where necessary to protect rights, safety, or legal claims.

If iCabs undergoes a merger, restructuring, acquisition, financing, sale of assets, or similar transaction, personal data may be transferred as part of that transaction, subject to applicable law.

6. Location Data

Because iCabs provides mobility and logistics services, location data may be necessary for booking, dispatch, navigation, trip safety, fraud prevention, and support.

iCabs collects precise location data in the background — including when the app is closed or not in use — to enable real-time driver matching, active trip tracking from pickup to drop-off, and accurate navigation. Background location access is required for drivers to remain discoverable for ride requests while using other apps such as Google Maps. This location data is used solely for ride operations and is not sold or shared with advertisers.

By using the Platform, you acknowledge that location access may be required for certain features to function properly.

7. Legal Basis for Processing

Depending on the circumstances, we process personal data on the basis of:

  • Performance of a contract
  • Compliance with legal obligations
  • Our legitimate operational and security interests
  • Protection of vital interests
  • Public interest obligations where applicable
  • Your consent where required

8. Data Retention

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including account and service administration, legal, tax, and audit obligations, fraud prevention and safety investigations, dispute resolution and enforcement, and internal recordkeeping.

When data is no longer necessary, we may delete, anonymize, or securely archive it in accordance with applicable law and our retention practices.

9. Data Security

We use reasonable technical and organizational measures to protect personal data against unauthorized access, disclosure, alteration, misuse, or destruction.

However, no digital platform can guarantee absolute security, and users acknowledge that internet-based services carry inherent security risks.

10. Your Rights

Subject to applicable law, you may have the right to:

  • Access your personal data
  • Request correction of inaccurate or incomplete data
  • Object to certain forms of processing
  • Withdraw consent where processing is based on consent

11. Children's Privacy

The Platform is not intended for unsupervised use by children. We do not knowingly collect personal data from children except where provided lawfully by a parent, guardian, school, employer, or other authorized person for a permitted purpose.

12. Cross-Border Transfers

Where personal data is hosted, accessed, or processed outside Kenya, we will take reasonable steps to ensure that appropriate safeguards are in place in accordance with applicable law.

13. Cookies and Similar Technologies

Our website or app may use cookies, device identifiers, analytics tools, and similar technologies to keep users signed in, improve functionality, understand usage patterns, detect fraud and abuse, and enhance performance.

You may manage some of these settings through your device, browser, or app permissions.

14. Third-Party Services

The Platform may integrate with third-party services such as payment gateways, maps, SMS providers, mobile money systems, analytics tools, and cloud hosting providers. Their handling of data may be subject to their own privacy policies and contractual controls.

15. Delete Account

You can remove all your data from the system by deleting your account from the profile page in the mobile app. Once you delete your account:

  • All your data will be purged from the system. Your profile image, email, phone number, social logins including Google login and all booking history will be permanently removed.
  • Deleted user data and account are irrecoverable.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any revised version will be posted in the app, on our website, or by other reasonable notice. Continued use of the Platform after the effective date of the revised policy constitutes acknowledgement of the updated Privacy Policy.
